These Terms govern your use of the MEDIMUN website and the MediBook platform. Please read them carefully. They include important provisions about eligibility, the responsibilities of School Directors for students under 18, payments, the limitation of our liability, and the law that applies. By using our platform you agree to these Terms.
These Terms of Service ("Terms") govern your access to and use of the MEDIMUN website at www.medimun.org and the MediBook management platform at www.medimun.org/medibook (together, the "Platform").
By accessing or using the Platform, registering an account, or participating in any MEDIMUN conference, workshop, or activity, you agree to be bound by these Terms and by the policies incorporated into them by reference (Sections 18–20). If you do not agree, you must not use the Platform.
If you are under 18, you may use the Platform only with the involvement of your School Director and the consent of your parent or guardian, as set out in Section 9.
Mediterranean Model United Nations ("MEDIMUN", "we", "us", "our") is a non-profit educational Model United Nations programme organised by The English School, a registered educational institution in Cyprus.

MEDIMUN is not an independent legal entity. It operates as a programme and activity of The English School. All legal obligations, liabilities, and rights described in these Terms are attributed to The English School acting through the MEDIMUN programme.

MEDIMUN does not accept applications from individuals. All delegate applications must be submitted by a registered school through an authorised School Director. Individual students may not apply directly to attend a MEDIMUN conference as delegates.
By creating an account you represent and warrant that:
You must register for a MediBook account to access most Platform features. You are responsible for providing accurate information, keeping it current, maintaining the confidentiality of your credentials, and all activity that occurs under your account.
You must not share your password. MEDIMUN will never ask for your password by email or message. If you believe your account has been compromised, change your password immediately and notify info@medimun.org. We hash passwords and cannot recover them; we can only help you reset them.
Each user must maintain a single account that accurately reflects their identity. Creating duplicate, impersonating, or misleading accounts is prohibited and may result in suspension.
MEDIMUN reserves the right to suspend or terminate any account at any time, with or without notice, for:
Termination does not entitle you (or your school) to any refund of fees already paid. The effects of termination are described in Section 16.

Violation of these prohibitions may result in immediate suspension or termination, loss of certification eligibility, and, where appropriate, referral to a school, a parent/guardian, or the relevant authorities.
All content on the Platform — including text, graphics, logos, photographs, videos, software, and design — is the property of MEDIMUN / The English School or its content suppliers and is protected by copyright and other intellectual property laws. You may not reproduce, distribute, publicly display, or create derivative works from any MEDIMUN content without our prior written consent, except as the Platform expressly allows.
Conference photographs published on the Platform are the property of MEDIMUN and are made available for personal, non-commercial viewing and downloading by registered users only, subject to the following:
Photography and recording are also governed by our Code of Conduct.
By submitting content to the Platform (including profile photos, position papers, resolutions, clauses, messages, or files), you grant MEDIMUN a non-exclusive, royalty-free, worldwide licence to host, store, display, and use that content for the purposes of operating, securing, and improving the Platform and documenting the conference. You represent that you own or have the necessary rights to the content you submit and that it does not infringe any third-party right or violate any law.
Resolutions, position papers, and clauses drafted in MediBook remain the intellectual property of the authoring delegate(s). By submitting them through MediBook, you grant MEDIMUN a licence to display, distribute within the relevant committee, and archive them for educational and record-keeping purposes.
If you believe content on the Platform infringes your copyright or other rights, contact info@medimun.org with a description of the work, its location on the Platform, and your contact details. We will review and, where appropriate, remove or disable access to the content.
If you send us suggestions or feedback about the Platform, you grant us a perpetual, royalty-free licence to use it without obligation to you.
By registering a school on MediBook, every School Director individually agrees to and accepts the following.
The School Director represents that they are a teacher, administrator, or duly authorised representative of the school they are registering, and are authorised by their school to register it, submit applications, and bind the school to these Terms.
The School Director:
Expressly undertakes to inform the parents and guardians of all students under 18 from their school who will hold MediBook accounts, that:
For students aged 15 (below the Cypriot GDPR age of digital consent of 16): the School Director expressly represents that they have obtained, or will obtain before the student creates an account, valid parental or guardian consent for MEDIMUN's processing of that student's personal data, and accepts full legal responsibility for this obligation;
Acknowledges that MEDIMUN does not directly collect parental consent. The School Director is the sole responsible party for ensuring this consent is obtained and documented.
The School Director is responsible for ensuring that students from their school comply with these Terms, the Code of Conduct, and all Policies; for supervising their delegation during conference activities; and for reporting any safeguarding or welfare concerns to MEDIMUN management.
The School Director, on behalf of themselves and their school, agrees to indemnify and hold harmless MEDIMUN and The English School, and their officers, employees, and volunteers, from and against any claims, losses, damages, fines, penalties, or legal costs arising from:
All conference participation fees are charged to and paid by schools through their registered School Director account on MediBook. Individual delegates are not subject to payment obligations on MediBook.
Invoices are issued through MediBook and processed via Stripe. Schools agree to pay all invoices by the stated due date. Card data is handled directly by Stripe; MEDIMUN does not store full card numbers. Late payment may result in the delegation being withdrawn from the conference, at MEDIMUN's discretion.
Fees are stated exclusive of any taxes that may apply. Schools are responsible for any taxes, duties, or charges imposed by their own jurisdiction.
MEDIMUN is a non-profit educational programme. Refund eligibility is determined on a case-by-case basis and communicated directly to the school. MEDIMUN is under no obligation to issue refunds unless required by law or agreed in writing.
Any purchases made through a separate MEDIMUN online store operated on a different domain and platform are governed by that store's and platform's own terms of sale and privacy notices. MEDIMUN MediBook bears no responsibility for those transactions.
The Platform relies on and integrates with third-party services, including hosting and infrastructure providers (Vercel, Neon on Amazon Web Services, Upstash), a real-time server host (Hetzner), payment processing (Stripe), bot-protection (Google reCAPTCHA), and transactional email (Resend). Your use of features powered by these services may be subject to their respective terms. MEDIMUN is not responsible for the independent practices or content of any third-party service. The role of each provider is described in our Privacy Policy.
MEDIMUN reserves the right to modify, suspend, or discontinue any part of the Platform at any time, with or without notice, and without liability.
The Platform depends on third-party infrastructure and the internet. We aim for high availability but do not guarantee uninterrupted or error-free operation, particularly for real-time features during peak conference use.
Some features are provided on an evolving or experimental basis and may change or be withdrawn. Certain advanced debate features may be available only for some committee types.
The Platform is provided "as is" and "as available" without warranty of any kind, express or implied. MEDIMUN makes no representations or warranties regarding the accuracy, completeness, or reliability of any content; the availability or uninterrupted operation of the Platform; the security of the Platform against all possible threats; or the fitness of the Platform for any particular purpose.
To the fullest extent permitted by applicable law, MEDIMUN and The English School shall not be liable for:
Where liability cannot be excluded by law, the total aggregate liability of MEDIMUN and The English School to you in connection with any claim shall not exceed the amount (if any) paid by your school to MEDIMUN in the 12 months preceding the event giving rise to the claim. For users who have paid nothing, our maximum aggregate liability is EUR 0.
Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited, including liability for death or personal injury caused by negligence, for fraud, or any statutory rights you have as a consumer that cannot be waived.
You acknowledge that the limitations of liability in this Section are an essential element of the bargain between you and MEDIMUN, and that MEDIMUN would not make the Platform available without them.
You agree to indemnify, defend, and hold harmless MEDIMUN, The English School, and their officers, employees, volunteers, chairs, secretariat members, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from your breach of these Terms; your use of the Platform; any content you submit; your violation of any law or third-party right; and, for School Directors, any claim by a minor (or their parent/guardian) arising from your failure to provide required consents.
MEDIMUN is committed to the safety and welfare of all participants, particularly minors. Our Code of Conduct applies to all conference activities. If you have a safeguarding concern, contact info@medimun.org or speak directly with a MEDIMUN Senior Director. School Directors are responsible for the welfare of students under their supervision during conference activities.
We may suspend or terminate your access to the Platform as described in Section 5.4. You may stop using the Platform at any time and may request deletion of your account by contacting info@medimun.org.
On termination: your right to access the Platform ends; certain content (such as the historical record of a session, certificates, and invoices) may be retained as described in our Privacy Policy and as required by law; and the provisions that by their nature should survive (including Sections 8, 9.4, 13, 14, and 19) will continue to apply. The handling of your personal data after termination is governed by our Privacy Policy.
These Terms are governed by and construed in accordance with the laws of the Republic of Cyprus, without regard to conflict-of-law principles.
Any dispute arising out of or in connection with these Terms or the Platform shall be subject to the exclusive jurisdiction of the courts of the Republic of Cyprus, and specifically the courts of Nicosia, save that we may seek injunctive relief in any competent court to protect our rights or the safety of users.
Before initiating formal legal proceedings, both parties agree to attempt in good faith to resolve any dispute through negotiation for a period of at least 30 days. Nothing in this Section affects any mandatory consumer-protection rights you may have under the law of your country of residence.
Your use of the Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference and explains how we handle your personal data.
Your use of the Platform is also subject to our Cookie Policy, which explains the limited cookies and similar technologies we use.
Participation in MEDIMUN conferences is additionally governed by our Code of Conduct and Dress Code, which are incorporated into these Terms by reference.
We may update these Terms from time to time. When we make material changes, we will notify registered users by email and update the "Last updated" date and version at the top. Continued use of the Platform after the effective date constitutes acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using the Platform and may request deletion of your account.
MEDIMUN shall not be liable for any failure or delay in performance arising from circumstances beyond its reasonable control, including natural disasters, pandemics, epidemics, government actions, war, civil unrest, cyberattacks, failures of third-party infrastructure or networks, power failures, or telecommunications disruptions. In such circumstances we will endeavour to give notice and resume normal operations as soon as reasonably practicable.
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign these Terms in connection with a reorganisation of the MEDIMUN programme within The English School.
Our failure to enforce any provision is not a waiver of our right to do so later.
If any provision of these Terms is found invalid, illegal, or unenforceable by a competent court, that provision shall be severed and the remaining provisions shall continue in full force and effect.
We may give notice to you by email to the address on your account or by posting within the Platform. You may give notice to us at info@medimun.org.
These Terms, together with the Privacy Policy, Cookie Policy, Code of Conduct, and Dress Code, constitute the entire agreement between you and MEDIMUN regarding your use of the Platform and supersede all prior agreements, understandings, and representations on that subject.
