Photography and audiovisual recording at the conference are carried out on the basis of legitimate interests under Article 6(1)(f) of the General Data Protection Regulation. You are asked to acknowledge that you have read and understood it.
Purpose and interest pursued. The conference is a large public educational event attended by several hundred participants. Photographs and audiovisual recordings are made in order to document the event, to report on it in the press and in conference publications, to maintain a historical archive of the conference, and to describe and promote the conference to schools, participants and the wider public, including on the conference website and on social media.
Balancing. MEDIMUN (Mediterranean Model United Nations) has assessed this processing and concluded that these interests are not overridden by the interests or fundamental rights and freedoms of participants, having regard to the following: images are taken openly and in plain view in the shared spaces of a public event, where participants reasonably expect to be seen and photographed; the images are of ordinary conference activity and are not of a sensitive or intrusive character; images are not used to make any decision about any individual; images are not sold, licensed for third-party advertising, or used to identify individuals by name without a separate basis; and an effective and freely available objection procedure is offered, described below.
Why this is not framed as consent. Photography of a public assembly of this size cannot be conducted so as to reliably exclude specific individuals from every wide-angle, crowd and plenary image. Presenting a choice that could not in practice be honoured would be misleading. The lawful basis is therefore legitimate interests, and the safeguard offered is the right to object described below, exercised in relation to particular images.
Your right to object. You have the right under Article 21 of the General Data Protection Regulation to object at any time, on grounds relating to the student's particular situation, to this processing. If you object, MEDIMUN (Mediterranean Model United Nations) will cease that processing unless it demonstrates compelling legitimate grounds which override the student's interests, rights and freedoms. In practice, on request to info@medimun.org identifying the student, any image in which the student is identifiable will be removed from the conference website, from conference social media accounts and from future conference publications, and will be withdrawn from further promotional use, within a reasonable period. Material already distributed to third parties, already published in print, or held in the historical archive may not be capable of recall, and this limitation is drawn to your attention.
